To make the NBAA-BACE Aircraft Connection a successful event for all participants, exhibitors must review and abide by the exhibitor rules below, the NBAA-BACE Exhibitor Contract Terms and Conditions and any additional rules published in the Exhibitor Resource Center.

Arrivals

To manage the large number of aircraft and display arrivals, NBAA will assign arrival windows for all exhibitors. Arrival windows are normally 30 to 60 minutes. The parking position of the aircraft within the event space will determine the arrival window each aircraft must meet.

Aircraft and Outdoor Display Arrivals 2026 NBAA-BACE

NBAA will assign arrival windows for all exhibitors on Sunday, Oct. 18 or Monday, Oct. 19, 2026. Generally the larger exhibits will have aircraft arrive on Sunday, Oct. 18, 2026. Exhibits with only a few aircraft or other types of displays will arrive on Monday, Oct. 19, 2026.

Aircraft failing to arrive during their assigned window may be denied placement in the aircraft display.

Aircraft Auxiliary Power Units (APUs)

Aircraft auxiliary power units (APUs) are not permitted to run during show hours or 30 minutes after arrival to 30 minutes prior to departure without specific permission from NBAA management.

Badge Registration

Exhibitor badges are required for exhibitor access to the NBAA-BACE Aircraft Connection. Badges also provide access to exhibits the NBAA-BACE exhibit hall and education sessions at the convention center. Exhibitors may use their badge allotment for exhibit staff, exhibitor guests and EACs, as they see fit.

Aircraft Connection badges are for the use of one individual for the duration of the show and are non-transferrable. Attendees and exhibitors will be assessed penalties for badge swapping. Identification checks are part of our security measures.

  • Exhibitors may purchase additional exhibitor badges for customers, guests or staff at a reduced rate.
  • No badges will be mailed in advance. Badges must be picked up on-site at the registration areas at the Aircraft Connection or convention center.
  • If an exhibitor uses the services of an exhibitor-appointed contractor (EAC) or third-party contractor during official show hours, the exhibitor must provide exhibitor badges for those personnel. These badges can be ordered online as part of the exhibitor’s total allotment of badges. During hours other than official show hours, EACs are required to wear setup and teardown security wristbands.
  • Co-exhibitors receive one complimentary badge with their registration and have access to the exhibitor badge registration portal to order additional badges at the discounted exhibitor rate.
  • Exhibitor badges allow access to the Aircraft Connection on show days at 7 a.m.
  • Attendee badges allow access only during show hours. Exhibitors should avoid scheduling meetings in their booths with attendees without exhibitor badges before or after show hours.

Booth Events

Exhibitors are encouraged to host customer events in their booths during official show hours. Evening events or receptions may also be scheduled with prior approval from NBAA by submitting the NBAA-BACE Exhibitor-Hosted Booth Event Approval Request Form.  If your event is approved, a confirmation will be sent to you.

Security Requirements for Exhibitor Booth Events

In-booth events must be planned to ensure that catering, catering equipment and guests fit within the exhibitor’s contracted space and aisles remain passable.

One security guard must be contracted by the exhibitor for every 50 guests at the anticipated peak attendance.

Security should be hired to begin 15 minutes prior to the event’s start and to conclude 15 minutes after the event ends.

Security guards must be hired through NBAA’s official security company. Further details and order form will be provided in the Exhibitor Resource Center.

Booth events will not be approved unless security has been ordered.

Carpeting

The use of carpet for aircraft entry and display pathways is permitted, provided the installation uses a low-tack, low-residue carpet tape with any carpet that is being laid directly on the airport ramp. The use of nails, staples or tacks directly into the ramp surface is strictly prohibited. Any damage to the ramp that is caused by the installation of carpet will be repaired at the exhibitor’s expense.

Catering

NBAA designate official caterers for the NBAA-BACE Aircraft Connection, but exhibitors may choose to use another caterer of their choice as an exhibitor appointed contractor (EAC) if the following conditions are met.

  • The selected caterer must be licensed in the event locality.
  • The exhibitor has designated the EAC as their service provider in the Exhibitor Resource Center.
  • When contacted by the Exhibitor Appointed Contractor Association (EACA), EAC provides Certificate of Insurance and completes the EAC agreement/contract.
  • All representatives of the EAC abide by the NBAA-BACE Aircraft Connection Exhibitor Rules and provide badges for those staff working on show days.
  • The exhibiting company is responsible for the actions of their independent contractors and subcontractors.
  • Attendee badges allow access only during show hours. Exhibitors should avoid scheduling meetings in their booths with attendees without exhibitor badges before or after show hours.

Official Caterers at 2026 NBAA-BACE

For 2026 NBAA-BACE, NBAA has designated two official caterers, Gourmet Celebrations and TPi Event Solutions, for the event. Exhibitors using either Gourmet Celebrations or TPi Event Solutions do not need to complete the EAC registration.

Children

Children younger than 12 years old are not permitted at the NBAA-BACE Aircraft Connection under any circumstances.

Children 12 years old and older are permitted in exhibit areas during exhibit hours with a valid badge. Children will not be permitted in exhibit areas during installation and dismantle.

Cleaning

  • NBAA will arrange to clean aisles after show hours and prior to opening each show day. This service does not include dusting, arranging, vacuuming or otherwise maintaining individual exhibits or trash removal.
  • Exhibitors must keep their displays neatly organized. Order forms for cleaning services will be provided in the Exhibitor Resource Center.
  • Please note that the exhibit hall will be quite dusty until the end of move-in.
  • Exhibitors must complete final booth cleaning prior to show opening.
  • If exhibitors wish to have their booths cleaned on a daily basis, this service must be ordered from Freeman.

Co-Exhibitors/Companies Sharing Exhibit Space

Some companies will share the exhibit space of a primary exhibitor as a co-exhibitor. A co-exhibitor is defined as:

  • Any company whose name is included on the exhibit space
  • Any company that has staff working at the exhibit space during official show hours
  • Any company whose marketing materials are distributed from the exhibit space
  • Any company whose products/services are marketed from the exhibit space
  • Any company other than the primary exhibitor with a different company name and a different business function that is sharing the exhibit space

Co-exhibitors will receive one complimentary badge with their co-exhibitor registration and will receive their own registration credentials. They may also purchase additional badges at the reduced exhibitor rate through their exhibitor registration portal.

All co-exhibiting companies at NBAA-BACE are required to register the co-exhibitor registration fee. All co-exhibiting companies must be current NBAA members in good standing. Failure to advise NBAA of co-exhibitors in advance may result in additional charges per co-exhibiting company.

Competitors

It is not NBAA’s policy to keep a record of any exhibitor’s identified competitor companies. Exhibitors are responsible for awareness of all companies in the immediate vicinity of their assigned space, both during and after their space assignment. NBAA will consider all exhibitor requests to relocate their own booth space and give all such requests equal priority. NBAA is unable to accommodate requests to relocate other exhibitors.

Decorations and Branding

Exhibitors are encouraged to decorate their spaces at the NBAA-BACE Aircraft Connection. All decorations must fit within the assigned exhibit space. Common decorations include furniture, carpet, floral, signage and flags.

  • Exhibits are routinely set up with adjacent neighboring exhibitors. Branding is not permitted on fences, hospitality structures or other elements that are adjacent to other exhibitors. All exhibit branding must face designated aisles.
  • All decorations should be suitable for an outdoor environment where extreme weather conditions may occur with little or no notice. Any decorations that have the potential of being blown over or away by the wind must be secured each night or will need to have appropriate weights or security.
  • Considerations should be made when using bags of stone or sand as weights, to ensure they do not tear open and spill their contents on the ground. Exhibitors will be responsible for cleaning up any stone or sand dumped on the ramp.

Demonstration Flights

Aircraft displayed at the NBAA-BACE Aircraft Connection are prohibited from conducting demonstration or presentation flights at any time while the aircraft is on display. Exhibitors wishing to do demonstration flights with aircraft not on display should reach out to NBAA Show Management for information.

Demonstrations

  • All display material and demonstrations must be confined within the limits of the exhibitor’s purchased space. Please reserve appropriate booth and aircraft display space size.
  • Product demonstrations should not be placed on the aisle sides of exhibits.
  • Normal aisle traffic cannot be interfered with at any time.
  • NBAA reserves the right to restrict exhibits that because of noise, method of operation or any other reason become objectionable.
  • Please be mindful of other exhibitors and events that are located near your exhibits.

Direct Selling

  • Direct/retail selling at the NBAA-BACE Aircraft Connection is prohibited. Exhibitors may solicit and accept orders only when billing, payment and delivery will occur after the close of Aircraft Connection.
  • Canvassing or distribution of publications/marketing materials/show dailies outside of assigned exhibit space, including all booth-to-booth distribution, is prohibited.
  • Soliciting of Aircraft Connection attendees and exhibitors, except by exhibiting companies, is prohibited. Attendees violating this rule will be removed.

Drawing/Layout Approval

The master plan for the event must be approved by the local building and fire prevention authorities. Each individual exhibit, tent, trailer or hospitality solutions must be included on the master plan. Each exhibitor must provide a detailed and scaled plan, which will be integrated into the master drawings. Drawings should illustrate aircraft positioning with respect to neighboring exhibitors and aisles. All tents, hospitality solutions, mock-ups and other exhibit elements should be included in layouts.

Dress

During Event Show Days

In keeping with the professional nature of the business aviation industry, dress for the Aircraft Connection is smart casual attire. This applies to all attendees and exhibitors, as well as to all personnel working on behalf of exhibitors in their booths. Dress for NBAA-BACE at the convention center is business attire. This applies to all attendees and exhibitors, as well as to all personnel working on behalf of exhibitors in their booths.

During Event Move-in and Move-Out Days

Because the airport is an active construction zone during move-in and move-out, it is important to ensure all exhibitors and contractors maintain a safe environment for all. Please use the following rules and airport best practices when in the exhibit hall during move-in and move-out:

Footwear: Closed-toe, sturdy shoes are required at all times. Comfortable, slip-resistant footwear such as sneakers or work boots is recommended. Sandals, open-toe shoes and high heels are not permitted for safety reasons.

Clothing: NBAA encourages exhibitors and contractors to wear comfortable, practical clothing suitable for physical labor and warm temperatures. Avoid wearing clothing or jewelry that can be a safety hazard.

Protective Gear: For your safety, please consider wearing work gloves if you’ll be handling heavy materials, as well as knee pads if kneeling frequently during setup or teardown.

Electrical Equipment and Service

Freeman is the designated and exclusive supplier for all electrical service and installation labor at the NBAA-BACE Aircraft Connection. Electrical service is available from 110v to 480v. Order forms will be provided in the Exhibitor Resource Center.

Eligibility

Exhibitors at the NBAA Aircraft Connection must meet one of the following eligibility categories. In all cases, exhibitors, including co-exhibiting companies and sponsors must be current NBAA members in good standing.

  • Companies are displaying aircraft for sale, lease, charter or modification/upgrade
  • Companies are displaying automobiles for sale, lease or rental. Automobiles being used to demonstrate non-automotive systems are not permitted at the aircraft connection.

Exhibitor-Appointed Contractors (EACs)

Exhibitors have the option of using Freeman (the official service contractor for NBAA-BACE), a qualified independent exhibitor-appointed contractor (EAC) or full-time personnel from their own company to install and dismantle displays.

It is the exhibitor’s responsibility to ensure that all representatives of the EAC abide by the NBAA-BACE Exhibitor Rules and to provide badges for those staff working on show days.

The exhibiting company is responsible for the actions of their independent contractors and subcontractors.

Exhibitors may use an EAC if the following conditions apply:

  • The service to be performed is not listed as an exclusive service
  • The exhibitor has registered the EAC as their service provider in the Exhibitor Resource Center
  • When contacted by the Exhibitor Appointed Contractor Association (EACA), the EAC provides a completed EAC application/contract and certificates of insurance
  • All EAC workers have Exhibition Services & Contractors Association (ESCA) Worker Identification & Security (WIS) badges

Exhibit space layout drawings will not be reviewed until show management has received complete drawings, EAC registrations and EAC certificate of insurance. EACs will not be allowed access to the exhibit hall or aircraft display without meeting all of the above requirements.

Each aircraft operator must notify the FBO in advance, with their arrival times, fuel needs and any passenger support needs.

Fencing

Fencing is often incorporated into the design of an exhibitor’s assigned space. To prevent fences from being blown over, all fences must use sturdy bases or other supports. Fence and support bases must fit within the exhibitors assigned space.

Fencing that continues to blow over will be considered a nuisance and a safety hazard and must be removed by the exhibitor. Exhibitors should not plan on any of the organizer’s security fencing being adjacent to the back or side of their displays.

Fire Safety

  • All exits and exit aisles must be kept clear and unobstructed.
  • No furniture, signs, easels, chairs or displays may protrude into aisles.
  • Fire hose cabinets, fire extinguishers, sprinklers or any other fire-safety device must not be hidden, obstructed or otherwise disturbed.
  • All materials used in exhibit construction, decoration or as temporary cover must be certified as flame-retardant.

Fire Safety at 2026 NBAA-BACE

Any tent, structure or temporary exhibit space over a combined 400 square feet at the NBAA-BACE Aircraft Connection must provide fire extinguishers that have a current inspection tag issued after Oct. 20, 2025, by a Nevada-licensed company.

Ground Support Equipment (GSE)

AEM International is the exclusive provider of ground power units (GPUs) and temporary aircraft air conditioning units (ACUs) for the NBAA-BACE Aircraft Connection. AEM recognizes the right of exhibitors to provide their own GSE, subject to the following terms.

  • Exhibitor-owned GSE must be the wholly-owned property of the exhibitor and not the real property of the exhibitor’s I&D contractor, display house, contracted third-party or agent, or provided to the exhibitor under loan, lease or rent, wherein full ownership of the equipment does not reside with the exhibitor at all times.
  • Exhibitor-owned GSE approved by AEM for use at the aircraft display will be subject to administrative fee from AEM to the exhibitor equal to 15% of the equivalent equipment code value for GSE supplied by AEM.

Hospitality Solutions and Tents

Aircraft Connection exhibitors with aircraft may use hospitality solutions, such as tents, modular or containerized pop-up pods, RVs and trailers. Tents and structures larger than 400 square feet will be approved on a case-by-case basis if setup and tear down can occur within the published schedule. Structures larger than 1,200 square feet typically cannot be built in the limited time required by the schedule. The location of each item covered by this section must be approved by NBAA so that the location does not interfere with other setup activities such as aircraft towing or fire marshal requirements.

Tents

AEM International has been designated as the exclusive tent supplier for the NBAA-BACE Aircraft Connection. Third party tent rental companies are not permitted. All exhibitors must follow the published procedures for installation and design approvals.

  • Any tent must fit fully within the exhibitor’s assigned space.
  • Equipment for the tent, such as air conditioning, must fit within the assigned space.
  • Each exhibitor is fully responsible for the safety and security of tents and accepts responsibility for any injury or damage (including aircraft) that may be caused by an unsecured tent.

EZ-up or other similar collapsible frame tents under 150 square feet permitted at the NBAA Aircraft Connection provided the exhibitor adheres to the following requirements:

  • All pop-up tents must have a minimum of 30 pounds of weight on each support leg.
  • Each pop-up tent will be lowered and the top cover removed during the following times:
    • Each night
    • Any time during the day while the exhibit area is not staffed
    • Whenever the exhibit area is not staffed
    • When removal is directed by NBAA show management due to high winds, storm conditions or any other reason

Failure to follow the rules may result in the tent being removed and confiscated by show management.

Modular and Containerized Pop-Up Units, RVs and Trailers

Exhibitors may use modular or containerized pop-up pods, RVs and trailers up to a reasonable length for use as office and customer hospitality during the show. All hospitality solutions must be approved by NBAA show management.

  • All hospitality solutions must fit within the assigned exhibit space.
  • Advertising the rental or sale of the RVs or trailers is only permitted if the RV/trailer supplier is registered as a co-exhibitor.
  • No vehicles are permitted to run their engines or onboard generators to power electrical/cooling systems during show hours. Exhibitors must use external electric sources to run these systems during show hours.
  • The arrival and departure of all containers, modular units, RVs and trailers must follow the published procedures and times emailed to exhibitors.
  • Storage trucks and trailers are not permitted on the aircraft connection unless they contain walk-through displays, such as mock-ups, or are outfitted as a business office.
  • Modular and containerized units may be removed from the event following the departure of all aircraft from the event space.

NBAA has prequalified several companies who provide hospitality rental units that meet the quality that NBAA exhibitors demand. Options are available in a wide range of styles and budgets. Review the list of hospitality container companies.

Move-Out for 2026 NBAA-BACE

Drivers must be available to move or reposition modular or containerized pop-up pods, RVs and trailers at 3 p.m. on Wednesday, Oct. 21, 2026, to allow for departing aircraft movements.

Cafe/Market Umbrellas

Exhibitors may use shade umbrellas within their assigned exhibit space provided the exhibitor adheres to the following requirements:

  • Each exhibitor is fully responsible for the safety and security of the umbrella and accepts responsibility for any injury or damage (including aircraft) that may be caused by an unsecured umbrella.
  • Each umbrella has an appropriate weighted stand or base.
  • Umbrellas must be lowered or removed during periods removed during the following times:
    • Whenever the exhibit area is not staffed
    • Any time exhibit staff observe the instability of the tent due to weather such as high winds

Failure to follow the rules may result in the umbrella being removed and confiscated by show management.

Insurance

All exhibitors at the NBAA-BACE Aircraft Connection are required to provide NBAA with certificates of insurance, meeting the requirements specified in the exhibitor contract terms and conditions.

NOTE: A copy of the insurance policy does not meet these requirements.

Certificates of insurance must meet the following requirements:

  • Comprehensive general liability insurance, including broad form contractual liability coverage, with limits of:
    • at least $5,000,000 combined single limit, per occurrence, for bodily injury and property damage,
    • at least $2,000,000 for products-completed operations aggregate,
    • at least $1,000,000 for personal and advertising injuries and
    • at least $50,000 for fire damage
  • Aircraft liability insurance with limits of at least $10,000,000 combined single limit (or $1,000,000 combined single limit for single-engine piston aircraft), per occurrence, for bodily injury and property damage including passengers
  • Aircraft hull (all risk) insurance for the full replacement value of the aircraft
  • Workers’ compensation insurance in accordance with statutory limits and employers’ liability with limits of at least $1,000,000 per accident
  • For exhibitors that will own or operate any motor vehicles inside the aircraft display area, automobile liability insurance with limits in an amount adequate to cover all of the exhibitor’s motor vehicles but not less than $1,000,000.

Insurance Requrements for 2026 NBAA-BACE

Aircraft Connection exhibitors must provide NBAA with certificates of insurance by Sept.16, 2026.

The following information must be included on the certificates of insurance:

All insurance must be primary and noncontributory to any other insurance coverage and each exhibitor shall obtain a waiver of subrogation on each policy in favor of the additional insured parties. National Business Aviation Association, Inc., Freeman; Henderson Executive Airport; Clark County; and Clark County Department of Aviation, its commissioners, officers, employees, related entities and authorized representatives, must each be named as additional insured on the liability insurance policies to the limits of each policy, even if those limits are in excess of the requirements of this section.

Internet/Telephone Service

Internet service at the NBAA-BACE Aircraft Connection will not be provided by NBAA. Exhibitors may order high-speed internet service through the order forms in the Exhibitor Resource Center. Landline telephone service is not available.

Exhibitors must comply with local labor rules outlined in the Exhibitor Resource Center. These labor rules lay out the specific requirements pertaining to local union jurisdictions and what tasks can be accomplished by your staff and EAC.

Material Handling / Hand Carry

Whether freight is being shipped to the advance warehouse or directly to show site, once delivered to the gate, freight is moved to your exhibit space via material handling services.

Material handling includes:

  • Inbound: Transport of your materials from the advance warehouse or the receiving gate to your exhibit space
  • Outbound: Transport of your materials from your exhibit space to the transportation vehicle
  • On-Site: The storage of your empty containers while at the event and the return of these containers at the conclusion of the event

Material handling is provided exclusively by Freeman. Additional fees may apply.

Self-Managed Delivery of Exhibit Materials – Hand Carry

Exhibitors are allowed to hand carry small boxes and exhibit items to their display without using Freeman services. Designated vehicle areas will be available for the loading and unloading of small items, which can be carried by hand. Small two-wheeled “luggage-type carts” will be allowed for moving small cartons through a designated hand-carry area. Exhibitors requiring larger wheeled devices or dollies to move their equipment or materials must contact Freeman for handling.

Move-In

To manage the large number of aircraft and display arrivals, NBAA will assign targeted exhibitors arrival windows determined by the parking position of the aircraft within the event space. Arrival windows are normally 30 to 60 minutes.

Exhibitors who would like to arrive at a different time must contact NBAA for approval. Exhibitors who are approved to arrive outside of the standard move-in schedule will be required to coordinate with security to hire additional guards, and arrangee with Freeman for check-in on-site.

Move-Out

Exhibitors must not dismantle their exhibits until show closing. After all exhibit materials are removed from tents, AEM International will dismantle the tents and clear a path for aircraft towing. All aircraft and vehicles must remain in place until directed by NBAA show management.

The aircraft display area must be left in the same condition as it was before move-in. Exhibitors and their EACs must make cleaning arrangements through Freeman in advance to remove trash, debris and any other materials from their exhibit location.

Music

NBAA maintains licensing agreements with the American Society of Composers, Authors and Publishers (ASCAP) and Broadcast Music, Inc. (BMI) to allow the use of live and recorded music from the ASCAP and BMI repertoires throughout the public areas at NBAA-BACE. Exhibitors are responsible for obtaining the appropriate licenses before the use of any work at any private function or that is not in the ASCAP or BMI repertoires.

Noise Levels

Sound levels within the exhibitor’s space should not exceed 85 decibels as determined by NBAA exhibits team and must not disrupt the conduct of business of neighboring exhibits or show management events during posted exhibit hours.

Exhibitors are asked to refrain from loud noise within their booths during NBAA keynotes on the exhibit floor.

Sound level violations should be reported directly to the NBAA exhibits team.

NBAA noise policy enforcement procedure is as follows:

  • An exhibitor in violation of this policy will receive a verbal warning from the NBAA exhibits team.
  • If a second infraction occurs, the exhibitor will receive a written warning delivered by the NBAA exhibits team.
  • If the exhibitor continues to violate the policy, the electrical power for the sound producing elements will be shut down.
  • Exhibitors receiving sound violation warnings may jeopardize their priority standing at future NBAA-BACE events.

Official Service Partners

To ensure orderly and efficient installation, operation and removal of displays and to eliminate confusion, NBAA has designated Freeman and other firms listed in the Exhibitor Resource Center, as official service contractors. NBAA holds these firms responsible for quality service and fair prices and will intercede on behalf of an exhibitor in the event of faulty work or unfair charges. NBAA encourages all exhibitors to place orders with these firms, unless a permanent arrangement has been established with a display house or outside contractor to set up and dismantle exhibits.

Exhibitors should look for the official service partner logo on official service partner order forms before ordering service, as well as on their emails and websites to ensure they are working with a NBAA-approved service provider.

Parking

  • Overnight parking at the NBAA-BACE Aircraft Connection is prohibited. Vehicles left on the property overnight will be towed at the owner’s expense.
  • Complimentary shuttle bus service will run between the convention center and Aircraft Connection on show days.

All parking at the 2026 Aircraft Connection, including accessible parking, is available on a first-come, first-served basis, free of charge. The Aircraft Connection address is 1201 Jetstar Ave. Henderson, NV, 89052.

Personal Transportation Devices

The use of Segways, skateboards, hoverboards, inline skates or roller skates or any other motorized vehicle is not permitted on convention center property without the prior approval of show management and the venue. This includes all non-ADA approved mobility devices.

Bicycles and scooters are permitted during move-in and move-out provided they are operated in a safe manner.

Pets

No pets, with the exception of service animals, will be permitted in the exhibit halls or on the aircraft display at any time.

Photo Use Permission

Any person who attends an NBAA event grants permission to NBAA, its employees and agents to record his or her images, including, but not limited to, photographs, digital images, voices, sound or video recordings, audio clips, or accompanying written descriptions, and, without notifying such person, to use his or her name and such images for any purpose of NBAA, including advertisements for NBAA and its programs.

Security

While perimeter security is provided during the event, NBAA and the host facility are not responsible for lost or damaged exhibitor property. For full details, review the NBAA-BACE Exhibitor Contract Terms and Conditions.

Exhibitors should secure all valuables with a lock and key. Exhibitors are encouraged to purchase additional insurance in advance to cover potential losses, such as theft or property damage.

If dedicated security is required, exhibitors can order additional security via the Exhibitor Resource Center.

Shipping and Storage

  • The Aircraft Connection venue cannot accept or store shipments in advance of targeted move-in dates. Any shipments that arrive at prior to the targeted move-in dates will be refused.
  • The unloading and delivery of all materials and equipment to and from exhibit spaces must be performed by Freeman as the official contractor. See Material Handling.
  • Empty cartons, boxes and crates must be labeled and removed for storage prior to show opening. Storage of these items by or in exhibits is prohibited.

Smoking

NBAA Aircraft Connection is a non-smoking event. Electronic cigarettes, electronic vaping devices, personal vaporizers, etc., are not permitted within the NBAA Aircraft Connection. Smoking is strictly prohibited at the airport facility. There is no smoking within the building or within 25 feet of any entrance.

Staffing and Exhibit Hours

  • Exhibit areas must be fully staffed during official exhibit hours.
  • Exhibitors will be admitted at 7 a.m. each show day for early preparations of displays only.
  • Exhibits must remain staffed and in place through show closing.
  • Exhibitors are reminded not to schedule meetings with attendees at their exhibits prior to show opening on show days.
  • All exhibitor activities outside of posted event hours, except exhibit preparations, must be approved by NBAA in advance.
  • NBAA management reserves the right to make changes to the exhibit hours schedule with advance notice.

NOTE: Exhibitors who dismantle their exhibits prior to the official show closing may jeopardize their priority standing at future NBAA-BACE events.

Suitcasing

If you have not reserved an exhibit space at the NBAA-BACE Aircraft Connection, you are prohibited from soliciting business at the Aircraft Connection. Non-exhibiting attendees who are observed selling or soliciting at the Aircraft Connection will be asked to stop. If non-exhibiting attendees refuse to stop or are observed selling or soliciting at another time during the convention, they will be asked to leave the event and their badges will be confiscated.

UAS, Drones and Balloons

For the safety of attendees, flying objects, including unmanned aircraft systems (UAS) and remote-controlled aircraft, are not permitted at the NBAA-BACE Aircraft Connection. UAS may be displayed in exhibits provided they are stationary and comply with all rules and relevant safety requirements.

Helium balloons are not permitted at the NBAA Aircraft Connection.

Video Walls and Screens

The use of any external video wall, projection screen or combination of screens must be approved by NBAA show management. These types of devices can present a hazard to navigation for aircraft, therefore their use must be considered on an individual, case-by-case basis. Some video displays may be restricted to daylight use only to avoid interfering with airport operations. The use or testing of video projection or video wall equipment is strictly prohibited from sunset to sunrise.

Submit written requests for the use of video walls or projection screens to Joe Hart, senior director, aircraft displays at jhart@nbaa.org. Requests must include an exhibit drawing, indicating the location of the screen, direction of the viewing surface and the expected operation times.

Waste Removal

Exhibitors and EACs are responsible for keeping their exhibit space maintained in a clean, orderly fashion. Before starting to build exhibits, exhibitors and EACs should review NBAA’s foreign object debris (FOD) guidance. The Aircraft Connection is located in close proximity to active airport areas and blowing debris can cause aircraft damage and dangerous operation conditions. Exhibitors or EACs who fail to control blowing debris will be charged an hourly cleaning fee until the debris is under control.

NBAA will provide containers and dumpsters for general waste removal. Exhibitors with bulk or construction waste should contact Freeman for a quote on the per cubic yard dumpster fee. Carpet and carpet padding will be disposed of separately.

Weather

  • When there is a severe weather warning or actual severe weather, NBAA will close the Aircraft Connection and work with exhibitors to evacuate and secure the site.
  • When there is a forecast for severe weather or possible winds in excess of 35 knots, NBAA will advise attendees and exhibitors of the possibility that the Aircraft Connection may close.
  • When the actual winds are in excess of 45 knots, NBAA will close the Aircraft Connection and instruct all attendees to seek shelter.
  • If the airport authority closes the airport for any reason, NBAA will close the Aircraft Connection for the duration of the airport-directed closing.
  • NBAA will not be responsible for any full or partial refunds as a result of weather-related closures.
